Your last recording looked fine on the meter. Then you laughed, or leaned in to make a point, and the playback crackled. Or the opposite: the take sounded thin and hissy, so you turned everything up and now the room noise is louder than your voice.

Both problems usually come from the same mistake. You are adjusting a volume control, but not the one that decides what gets recorded.

Gain staging is the fix. It means setting levels in the right order, at the right points in the chain, so normal speech has room to get louder without breaking. This guide walks through that chain one stage at a time. By the end you will have a short routine you can run before every session instead of guessing.

Why Your Levels Keep Drifting

There is no single "microphone volume." There is a chain of stages, and only some of them change the file.

For a USB microphone, the signal travels like this: the capsule picks up sound, a built-in preamp boosts it, a converter turns it into digital audio, and it travels over USB into your operating system and then into your recording or streaming app.

For an XLR microphone, the path is similar but split across two devices: capsule, XLR cable, the preamp inside your audio interface, conversion, USB, operating system, application.

A few terms will make the rest of this easier:

  • Gain is amplification applied to the signal. It makes a quiet source louder before it is recorded.
  • Preamp is the circuit that applies that gain. In a USB mic it lives inside the microphone; in an XLR setup it lives in the interface.
  • dBFS (decibels relative to full scale) is how digital levels are measured. Zero is the absolute ceiling. Everything usable sits below it.
  • Headroom is the distance between your normal level and that ceiling. It is the space loud moments need.
  • Clipping is what happens when a signal hits the ceiling. The peaks get flattened into distortion that cannot be undone.
  • Line level is a standard signal strength that audio gear expects to pass around. Microphones output far less than this, which is why a preamp exists.

Here is the part that matters most. Preamp gain and your operating system's input level change what gets recorded. Application faders, monitor volume, and headphone knobs usually only change what you hear.

That is why "just turn it up in the app" is the most common wrong fix. It can make your headphones louder without adding a single decibel to the file. You feel like you solved it, then the recording still sounds quiet.

There is also a habit worth unlearning. In the analog tape era, engineers recorded as hot as possible because tape had a limited signal-to-noise ratio and quiet recordings got buried in hiss. Digital recording at 24-bit does not have that problem. Running near the ceiling now mostly buys you a higher chance of distortion and a harder time balancing tracks later. Focusrite's guidance is explicit on this point: aim for a more conservative level, peaking around -12 dBFS, so there is room for a loud moment.

What You Need Before You Start

Gain settings only hold if the conditions around them hold. Set these first.

A quiet-ish room and the microphone in its final position. Gain set at one distance will not behave the same when you move the mic closer or further away. RØDE's microphone technique guidance is blunt about this: getting the microphone close to the source is most of the job, and a distant mic sounds reverberant while picking up more background noise. For many voice setups, a hand-span from your mouth is a reasonable starting distance.

Your normal speaking distance and posture. Distance changes level more than most people expect. Decide where you will actually sit and talk, then set gain there.

Headphones for monitoring. Do not judge level through speakers that feed back into the microphone.

Knowledge of your device type. Is this a USB microphone with its own gain knob or companion software, or an XLR microphone feeding an interface with a physical gain dial? That determines where the first adjustment happens.

Your operating system and application. The input-level control lives in different places on Windows, macOS, and inside each recording or streaming app.

Set Gain at the Source First

This is the step that does most of the work. Everything downstream is processing whatever signal arrives here.

Start with the microphone or interface gain turned down, then raise it while you speak normally. Do not set it while silent and then start talking — you will set it for the wrong signal.

Then rehearse the loudest thing you will actually do. A laugh. An emphatic sentence. A raised voice. A cough. Set gain so those peaks still have room left. If your loudest moment touches the ceiling, your normal speech is set too hot.

A practical target: peaks landing comfortably below the digital ceiling. Focusrite's guidance points to aiming around -12 dBFS when recording, which leaves headroom for louder passages. Treat that as a working range rather than a magic number — the goal is a conservative level with room to spare, not a specific reading you must hit.

Why some microphones need a lot of gain. If you use a low-output dynamic microphone, you may find yourself turning the gain dial most of the way up. That is normal. Shure's documentation for the SM7B describes a microphone signal around -69 dBV that must be raised toward line level, with an example involving roughly +60 dB of preamp gain. A quiet microphone needing heavy amplification is a design characteristic, not a broken setup.

Why a high gain setting is not automatically wrong. Preamp gain response is not linear across the dial's rotation. The same amount of turn does not produce the same amount of gain at every position. Focusrite notes it is not unusual to need the gain near the high end of the dial to get a reasonable level, especially with a dynamic microphone or a mic placed further from the source.

Phantom power. Enable it only for condenser microphones that require it. Check before switching it on.

Set the Operating System Input Level

This is the stage most creators forget exists — and the one where advice gets unreliable, because the control does not behave the same way on every device.

On both Windows and macOS, system sound settings include an input level for your microphone. What that slider actually does depends on your hardware, driver, and platform. On some setups it scales the signal before your application sees it. On others it changes only the displayed level, or it interacts with the device's own control in ways that are not obvious. Treat it as a control to verify, not a stage to assume.

That creates two traps:

  • Turning it down can hide clipping that already happened. If the preamp pushed the signal past the ceiling, lowering the OS input makes the meter look healthier without recovering the distorted audio.
  • Turning it up amplifies noise along with your voice. Any hiss or room tone present at that point gets louder too.

So instead of a universal default, run a short test. Change only the OS input slider, record a few seconds of speech, and compare the saved file and the application meter against your previous take. If the recorded level moves, the OS is in the capture path and you can use it as a gain stage. If only the on-screen display moves, you are adjusting something else, and the real work belongs at the preamp.

Once you know which behavior you have, pick a stable setting and leave it. If your device lets the OS control sit near neutral without starving the application, that is a fine place to start — but confirm it with the test rather than assuming it.

Also watch for automatic settings that quietly change levels between sessions. Automatic gain control and exclusive-mode options can alter your input without asking. If your levels are fine one day and wrong the next, check here first.

Set Application Levels Without Double-Adjusting

The application is where most creators accidentally stack gain changes and lose track of what is actually being captured.

Inside a recording or streaming app you typically have several controls that look similar:

  • Input gain affects what gets written to the file.
  • Track fader affects the mix, not the raw capture.
  • Monitor or output level affects only what you hear.

The classic clipping recipe is a hot preamp plus a boosted application input. Two stages each adding gain can push peaks over the ceiling even when neither setting looks extreme on its own.

Before you touch anything, find the meter that represents the source being recorded or transmitted — not the master output, not the monitor mix. That is the meter your gain decisions should follow. Set the earliest available capture gain there, and leave downstream faders at a known reference position unless the application documents otherwise.

For streaming and meeting software, keep the microphone input level separate from your output or monitor level. Fixing a quiet recording by raising output volume does nothing for the file, and fixing a loud monitor by lowering input can leave you recording too quietly.

A software limiter or clip-protection feature is a safety net, not a substitute for correct gain. It can prevent ugly distortion when something unexpected happens, but it does not restore the headroom you already gave away. If the limiter is working regularly, your gain is set too high.

To verify, record a short test, play it back at a fixed monitor level, and check the waveform or meter rather than trusting your ears on headphones. Headphones flatter quiet recordings. The waveform does not. If your recording path and your live stream or meeting path are separate mixes, test both — a level that looks right in the file can still be wrong on the stream.

Check Monitoring Separately From Recording

Monitoring volume and recorded level are independent. Changing your headphone volume should not change the file at all.

Many USB microphones and interfaces offer direct or zero-latency monitoring, which lets you hear yourself without software delay. That is a monitoring feature, not a level fix. RØDE's NT-USB+ product page, for example, lists a headphone output with zero-latency monitoring as a feature of the microphone — it describes how you listen, not how the signal is captured.

Set monitoring after you have set capture level, then leave it alone. If you find yourself reaching for the headphone knob every session, you are probably compensating for a capture level that keeps drifting.

A quick sanity check: speak at your normal level, then at your loudest, and confirm the meter behaves the same way in both the hardware and the application. If the hardware meter moves but the application meter does not, something between them is intercepting the signal.

When It Still Sounds Wrong

Use this to tell a configuration problem from a hardware limit before you consider buying anything.

Clipping that persists after lowering preamp gain. Check whether the OS input or application input is still boosted, or whether a software effect is adding gain. Two stages can clip a signal that neither would clip alone.

Hiss or noise floor that rises with gain. This is often the preamp and the microphone's output level interacting, not a broken device. A very low-output dynamic microphone pushed hard on a modest preamp is the classic case. The noise is real, but it is a gain-structure issue before it is a gear issue.

Level that changes between sessions. Look for automatic gain control, exclusive-mode settings, driver or firmware updates, or a different USB port. Any of these can reset your carefully chosen level.

Level that changes when you move. This is technique and placement, not gain staging. Fix distance and angle before touching any knob.

When it is genuinely a hardware limit. If you need maximum usable gain and the preamp runs out before your voice reaches a healthy level, that is a real constraint. Confirm it is not a settings problem first, then treat it as a reason to change hardware.

A Repeatable Level-Setting Routine

Run this before every session. It takes a couple of minutes and removes the guesswork.

  1. Place the microphone at your normal speaking distance and leave it there.
  2. Set preamp or mic gain while speaking your loudest realistic material, not while silent.
  3. Test the OS input by changing only that slider and checking whether the saved file changes; set it to a stable position once you know its behavior.
  4. Set application input gain so normal speech peaks conservatively, with headroom left over, watching the meter tied to the recorded or transmitted source.
  5. Set monitoring last, then leave it alone.

Leave headroom on purpose. A slightly lower recording is easy to fix later. A clipped one is not.

Once your settings work, write them down or photograph the dial positions. A driver update, a new application, or a different USB port can send you back to guessing, and having a reference makes recovery fast.

Re-check the whole chain after any change to your microphone, interface, cable, USB port, operating system, or application version.

If your levels are inconsistent, work the diagnosis in order. First confirm you are using the same device, placement, and software path as before. Then check for automatic processing, exclusive mode, or a changed input device. Only after those come back clean should you reset gain staging from the microphone outward — and only after that should you suspect a hardware limit.

The one condition that justifies spending money is narrow: when your preamp genuinely runs out of usable gain for your microphone and your voice, or when a device gives you no way to separate capture level from monitoring. Short of that, keep the microphone you have and fix the staging.
